Job Summary

This position provides administrative and secretarial support to the Director of Facilities in matters relating to the overall operation of facilities. Supports department staff and maintains correspondence and office records; directs inquiries from internal and external requests to appropriate destinations. May be directed to perform job related tasks other than those specifically delineated in this description. Reporting to the Director of Facilities, the Administrative Assistant, provides comprehensive administrative, clerical and logistical support; aids and assists in the efficient operations of the department. Serves as a confidential assistant and functions as the key support staff person in coordination and implementation of the department’s day to day office operations.


• Provides assistance in the day-to-day administration of department; Schedules and maintains appointment calendar for office and Director.
• Greets visitors; answers telephone; routes callers; takes messages; provides routine information to callers; reads and routes incoming mail; processes correspondence professionally.
• Schedule and coordinate meetings; prepares meeting minutes; distributes minutes to appropriate individuals.
• Performs routine administrative duties such as fax, filing, copying, printing, types correspondence, reports, memoranda and related material as requested; proof reads for errors., etc.
• Responsible for maintaining the departmental budget, provide information and periodic status reports on the budget.
• Maintain purchasing card and purchase order files, work with Account Payable to ensure timely
invoice submittal.
• Develop internal operating procedures.
• Assemble materials for and attend all project bid meetings and perform administrative duties as necessary through bid process. Attends project meetings as required.
• Works effectively and efficiently with university faculty, staff, students and community.
• Performs other related duties as assigned or requested.
• Supervises student workers.

Minimum Qualifications

Extensive and relevant experience, in lieu of a degree may be considered. Good communication, writing and organizational skills, strong computer skills, especially in working with Microsoft Excel, Word, PowerPoint, Outlook and other Microsoft Office products. Excellent written communication skills. Customer-service oriented with excellent interpersonal skills and problem solving skills. Possess excellent organizational and time management skills. An Associate’s degree in Business Administration or related field, and three years of related work experience is required.

Preferred Qualifications

A Bachelor’s degree in Business Administration preferred. Knowledge of QuickBooks (preferred).
