Job Summary

Savannah State University invites qualified applicants for the position of Administrative Specialist/Paralegal. This position performs as a legal assistant and is responsible for providing professional, executive-level and efficient administrative support to the University Counsel & Title IX Coordinator. Additionally, the successful candidate is responsible for coordinating the attorney’s review and response to requests for legal services including but not limited to legal review of contracts, records requests, investigations, etc.

The incumbent:

  • Maintains the Office’s legal matter/contract management and legal document filing systems.
  • Monitors Open Records requests and manages the document retrieval process, ensuring timely responses to records requests and maintains filing system.
  • Analyzes and prioritizes administrative work flow for the office and coordinates special projects as assigned, including research, preparation and delivery of presentations for workshops and training programs.
  • Acts as a liaison between the Office of the University Counsel and other attorneys, departments and organizations.
  • Provides legal assistance and administrative support such as making copies, answering and directing phone calls and greeting clients.
  • Processes correspondence while maintaining confidential and administrative files.
  • Prepares letters, memoranda, reports, presentations and materials; proofread for accuracy.
  • Maintains legal matter/contract management system.
  • Maintains Office calendar, coordinates meetings and schedules.
  • Makes travel arrangements and processes travel requisitions.
  • Maintains central filing system and office procedures for quick retrieval of documents/ information.
  • Handles confidential matters and material with appropriate discretion.
  • Monitors and reconciles Division budget, prepares reports and ensures budget related documents meet deadlines and compliance guidelines.
  • Processes purchase requisitions, check requests and contracts to ensure timely payment.
  • Orders and maintains inventory of supplies; reviews invoices to ensure accuracy of service and goods.
  • May be directed to perform job-related tasks other than those specifically delineated in this summary.
Minimum Qualifications
  • Associates degree or paralegal certificate
  • Three (3) years office administration experience within legal environment; or five years experience in higher education administration
  • Excellent interpersonal, verbal and written communication skills
  • Proficiency with MS Office Suite
  • Proficiency with contracts and records management software/tools
  • Must be highly organized and detailed oriented with the ability to multitask
  • Must be able to take direction and work independently and collaboratively in a highly confidential, fast-paced, complex office environment with minimal supervision
  • Excellent customer service skills
Preferred Qualifications
  • Bachelor’s degree in Business or Administration
  • Records project and event management experience
