The Administrative Assistant II supports the mission and efforts of the School of Science and Technology by providing administrative support and assistance to faculty, staff, and students. This critical position handles prior travel authorization and expense processing, as well as maintaining office supplies and educational equipment. The Administrative Assistant II is also responsible for a variety of other administrative tasks that assist with ensuring the office runs efficiently and effectively.

  • Front office reception duties and maintaining a welcoming office atmosphere
  • Answering basic questions from SST student and faculty members
  • Escalating inquiries to appropriate party
  • Travel prior approval processing and reimbursement for all employees within SST
  • Assisting with office supply availability
  • Assisting with all office projects and events as needed
  • Communicating with college wide offices and outside vendors as needed
  • Performing other duties as assigned
Minimum and Preferred Qualifications:
Minimum Qualifications
  • High school diploma (GED) required
  • One to three years of related experience
  • Excellent communication and human relations skills essential
  • Ability to respond to various audiences accurately and calmly and make decisions under pressure and without immediate supervision
  • Ability to quickly assess needs and requirements of students
  • Excellent knowledge of Microsoft Word and Excel
  • Willingness to learn various PC applications
  • Proficient in composition and punctuation
  • Strong commitment to the educational growth of each individual student and to providing patient assistance to our growing faculty

Preferred Qualifications

  • Bachelor's degree preferred
  • Previous experience in an academic environment a plus
  • Previous experience with travel and expense reimbursements a plus

Physical Requirements

Position requires local travel. Ability to lift and carry files and materials. Ability to move from one office to another office on campus. Adequate vision, hearing and manual dexterity to interact with people in person, on the phone and in writing. Job takes place in normal environmental conditions.

Work Hours: Position may require non-standard work hours (nights and weekends).
