Nature of Work:

The Scheduling/Events Coordinator is responsible for the coordination of booking, reserving, scheduling, planning & implementation of room/space/facility reservations for internal & internal functions on both the East and West campuses of Albany State University. 

Training and Experience:

The minimum qualifications for this role include:

  • Knowledge and level of competency commonly associated with the completion of an Associate Degree in a course of study related to the occupation held.
  • 2 years of related job experience
  • Excellent customer service skills
  • Must be able to work independently
  • Must be able to make decisions based on institution policy and policies set forth for rental of the facilities on the campuses.
  • Understand and can apply institutional policies as they relate to interaction with Non-Student Minors on Campus as it relates to third party rental and for institution owned/sponsored events.
  • Understand and apply institution policies related to serving alcohol on campus.
  • Adept with operating various computer programs; experience with working within a scheduling software program is preferred but not required.
  • Experience working with a University Campus is preferred.
  • Experience in working with planning and conducting special events is preferred. 

Illustrative Examples of Work:  

  • Facilitating booking, planning and implementation of third party rental for events on both the East and West Campus.
  • Acting as a Point of Contact for Summer Campus and programs to ensure compliance with Protecting Non-Student Minors on Campus policy.
  • Working closely with Housing Department to coordinate Housing needs of overnight campus and interns.
  • Preparing and maintaining complete records of events.
  • Resolving issues between students, faculty, and staff and external rental clients when multiple requests for use of a facility are received within the same time frame. Determines the priority according to university protocol.
  • Performing routine office tasks such as filing, answering phone and answering general questions about the university as well as Auxiliary Services.
  • Attending events to ensure superior customer service, room setup correctly, IT needs working properly and appropriate custodial and security staff are on site.
