Program Support Specialist Title III

Job Summary

This position serves as the primary point of contact for the Office of the Center for Teaching and Faculty Development (CTFD). The Program Support Specialist greets and responds to in-person, phone, and email inquiries directed to the CTFD; assists students, faculty, staff and visitors. This position also manages incoming and out-going correspondence, coordinates travel and activities for the Program Director. May be directed to perform job related tasks other than those specifically delineated in this description. Reporting to the CTFD Program Director, work is performed using a high degree of flexibility and operating in a fast paced, high volume office.

Duties

  • Respond to in-person, phone and email inquiries from students, faculty, staff and the public; make referrals to other departments as needed.
  • Coordinate office correspondence; open, date stamp, and log all incoming correspondence and ensure timely routing of outgoing correspondence.
  • Coordinate travel requests and required documentation for Center for Teaching and Faculty Development; communicate with university travel coordinator and travel agency for timely implementation of travel authorities.
  • Assist or coordinate faculty related events or training that may occur on campus or in the center.
  • Assist with gathering data and information for tracking and reporting for reports.
  • Ensure office facilities and equipment management, research and handle budgetary matters, purchasing, and website updates.
  • Route signed or approved paperwork to the appropriate offices and ensure necessary support documentation is maintained within the office of the Center for Teaching and Faculty Development.
  • Manage the calendar for the Office of the Center for Teaching and Faculty Development.
  • Participate in the coordination of administrative office functions.
  • Serve on implementation team for special projects and events. Perform other duties as assigned and necessary.

Minimum Qualifications

Must possess high ability in follow-through, effective customer service and office organization. Must be able to demonstrate advanced skills in Microsoft Office applications.

Preferred Qualifications

A four year degree or other credentials from an accredited institution with equivalent work experience. A minimum of 5 years office related experience required.
