Nature of Work: This position serves as the contact person for faculty, staff, and students who have questions or problems regarding enrollment or records. He/She must display superior communication, conflict resolution, and problem solving skills. In addition, the incumbent must maintain current knowledge on all policy changes regarding the Registrar's area. And for continuous process improvement, the Registrar must take responsibility for assuring that the appropriate Directors communicate policy changes regarding Admissions and Financial Aid. 

Additional duties of the Registrar are to provide functional support and data accountability for all Enterprise Resource Planning applications (BANNER, People Soft, etc.), and necessary University System of Georgia Data Mart(s) submissions and other census reporting to the Board of Regents. This includes entering updates to include additions and changes from current information and performing checks to make sure the system reflects correct information. The Registrar serves as a non-voting member of Curriculum Committee and as the Chair of the Hardship Withdrawal Committee, and serves on various other University committees as needed. 

Maintenance of permanent student academic records is a chief responsibility of this position. He/She determines how prior academic credit is applied in consultation with academic officials. Also, the incumbent provides official academic records for current and former students upon request. 

The Registrar must have excellent written and oral skills. The Registrar must be prepared to travel within and outside of the institution. 

Highly developed organizational skills are a requirement of this position. With a variety of duties to perform on a regular basis, the incumbent must keep tasks organized and prioritized. The Registrar ensures and enforces compliance on behalf of the College with regard to federal, state, institutional, and University System of Georgia policies. This requires an advanced understanding of the policies, standards, and the implementation of operational procedures in order to meet regulatory and compliance requirements. 

Other chief duties include providing support for National Clearinghouse submissions, major change processing, transcript requests and the certification of graduates. 

The person occupying this position must practice the highest ethical standards, absolutely essential for the preservation of the integrity of the University.  


This position requires a master's degree, five to seven years of work experience in a collegiate environment, and proficiency in Microsoft Office, Enterprise Resource Planning applications (BANNER, People Soft, etc.) and Data Warehouse and/or Data Mart technologies. Demonstrated experience of using technology to solve problems and make future improvements is required as well. Evidence of strong analytical skills is preferred, with specific knowledge of higher education intricacies. Preferred qualifications include additional experience as a college or university registrar with demonstrated ability to prepare statistical reports for higher education systems, such as USG and other educational agencies, as well as to the ability to interpret registration policies to faculty and students.  

Illustrative Examples of Work: The Registrar serves the faculty, staff, and students by maintaining complete and accurate records at the campus and Board of Regents level. This includes all aspects of student enrollment records, including course schedules, enrollment, and grade records. The Registrar also ensures that transfer credits, both into and out of ASU, are properly recorded and documented. The Registrar maintains the integrity of catalog information and catalog updates and organizes and maintains permanent vault records as well as has oversight of various academic and business unit Data Stewards to ensure the information management life cycle meets regulatory and compliance requirements, e.g., FERPA, HIPAA, Red Flag, etc. The Registrar is required to maintain practical and current experience with academic and business database management system platforms, and must also be able to manage and oversee the data warehouse/data mart processes. The person in this position is responsible for the development of business intelligence reporting and data acquisition from various information systems, e.g., Banner, People Soft, Argos, DegreeWorks, etc. The Registrar is also responsible for the general processing team for the University which provides data entry and processing assistance for various offices, including, but not limited to, admissions, academic advising, and financial aid. 

The Registrar is responsible for creating strategic policies pertaining to reporting and data utilization from various information systems throughout the institution. 
Policies include strategies addressing data collection, management, and reporting policies in order to support the various campus academic and business units' objectives. 
Through the use of business intelligence data, the Registrar explains to executive management, staff, faculty, and other constituents the value of information as an asset essential to the effective operation of the University. The Registrar also creates and manages an annual budget and works with departments across the University to create comprehensive reports and policies that increase efficiency and effectiveness for the University as a whole. 

The Registrar manages a team responsible for the overall entry of data for various institution functions such as admissions, financial aid and transfer articulation, and other area Enterprise Resource Planning application system reporting needs. 

The role of the Registrar includes record management for the institution. This particular function has a wide range of daily tasks such as those noted below: 

Degree verification, transcript management, Board level interaction for institutional policy with regard to information regulatory and compliance requirements, vendor management for reporting and transcript tools, documentation and storage of official record changes such as drops, adds, withdrawals, military personnel situations and a variety of other special scenarios and will perform other duties as assigned.
